Creating Your First Project

Projects are the core of Site Service Pro. They organize work, track time, and enable accurate billing.

Before You Begin

Make sure you have:

Creating a New Project

Step 1: Navigate to Projects

  1. Click Projects in the navigation menu
  2. Click New Project

Step 2: Enter Project Details

Basic Information

  • Project Name: A descriptive name (e.g., "Main Street Office Renovation")
  • Project Number (optional): Your internal reference number
  • Client: Select the client this project is for
  • Status: Set to "Active" for work in progress

Location

  • Address: Job site address
  • City, State, ZIP: Full address for the work location

Description

Add notes about the project scope, special requirements, or other details your team should know.

Step 3: Set Project Dates

  • Start Date: When work begins
  • End Date (optional): Expected completion date

Step 4: Configure Billing (Optional)

  • Contract Amount: Total contract value
  • Billing Type: Time & Materials, Fixed Price, or Cost Plus

Step 5: Save

Click Save to create the project.

Assigning Employees to the Project

After creating the project:

  1. Open the project details
  2. Go to the Team tab
  3. Click Add Team Member
  4. Select employees who will work on this project

Example Project Setup

Project Name: Downtown Medical Center - Phase 1
Project Number: 2024-001
Client: ABC General Contractors
Status: Active
Address: 123 Main Street, Portland, OR 97201
Start Date: January 15, 2024
Contract Amount: $150,000
Billing Type: Time & Materials

Project Statuses

Status Meaning
Draft Project is being set up, not yet active
Active Work is in progress, time can be logged
On Hold Temporarily paused
Completed All work finished
Cancelled Project cancelled

Next Steps

Once your project is created:

  1. Assign team members to the project
  2. Have employees log time entries
  3. Review time entries and costs
  4. Generate invoices when ready
