Viewing and Managing Schedule Details

This guide explains how to view, edit, and manage your schedules using the various views available in Resource Scheduling.


Viewing Schedule Details

From the Calendar (Week View)

  1. Locate the schedule on the calendar grid
  2. Click on the schedule card
  3. A details popup appears showing:
    • Resource name (employee or equipment)
    • Project name and number
    • Date and time range
    • Status with color-coded badge
    • Notes (if any)

Action Buttons in Details Popup

Button Action
Edit (pencil icon) Opens the edit form
Delete (trash icon) Prompts to delete the schedule
Close (X) Closes the popup

Using the List Views

Employee Schedules List

  1. Change the View dropdown to Employees
  2. See all employee schedules in a table with columns:
    • Employee (name and email)
    • Project (number and name)
    • Role
    • Start date/time
    • End date/time
    • Hours
    • Status
    • Actions

Equipment Schedules List

  1. Change the View dropdown to Equipment
  2. See all equipment schedules in a table with columns:
    • Equipment (name and type)
    • Project (number and name)
    • Operator (if assigned)
    • Start date/time
    • End date/time
    • Hours
    • Status
    • Actions

Filtering Schedules

Use the filter bar to find specific schedules:

Available Filters

Filter Options Use Case
View Week View, Month View, Employees, Equipment Change display format
Start Date Date picker Set the beginning of the date range
End Date Date picker Set the end of the date range
Project Dropdown of all projects Show schedules for one project
Status All, Scheduled, Confirmed, In Progress, Completed Filter by schedule status

Clearing Filters

Click the Clear button to reset all filters to their defaults.


Changing Schedule Status

Schedule status helps track the lifecycle of an assignment:

Status Options

Status Meaning When to Use
Scheduled Initial assignment Just created, not confirmed
Confirmed Acknowledged by resource Employee/operator confirmed
In Progress Work underway Currently on the job
Completed Finished Work done, ready for review
Cancelled No longer needed Assignment cancelled

How to Change Status

  1. Click on the schedule (calendar or list)
  2. Click Edit
  3. Change the Status dropdown
  4. Click Save

Week View Navigation

  • Use the < and > arrows next to the date range
  • Click Today to jump to the current week

Month View Navigation

  • Use the < and > arrows next to the month name
  • Click Today to jump to the current month
  • Click any day to see that day's schedules

Understanding Calendar Colors

Schedule Event Colors

  • Each project has its own color for easy identification
  • The left border of each event card shows the project color

Status Indicators

  • Status badges appear with color-coded backgrounds
  • Quick visual identification of schedule states

Availability Overlays

  • Red/teal banners indicate unavailability periods
  • Yellow cell backgrounds highlight affected days

Bulk Viewing Tips

See All Schedules for a Project

  1. Use the Project filter dropdown
  2. Select a specific project
  3. All schedules for that project are displayed

See All Schedules for an Employee

  1. Switch to Week View
  2. Find the employee row
  3. Scan across dates to see all their assignments

See Scheduling Conflicts

  1. In Week View, look for:
    • Multiple events in a single cell
    • Availability banners over scheduled events
    • Faded events below availability indicators

Example: Finding Who's Working Next Week

Scenario: You need to see who is scheduled for the ABC Office project next week.

Steps:

  1. Go to Scheduling
  2. Set View to "Week View"
  3. Adjust Start Date to next Monday
  4. Adjust End Date to next Friday
  5. Set Project filter to "ABC Office Renovation"
  6. Review the calendar to see all assigned resources

Result:

  • Only schedules for ABC Office project are shown
  • You can see which employees and equipment are assigned
  • Identify any days with gaps or conflicts

Permissions

Different actions require different permissions:

If you can't perform an action, contact your administrator about your permissions.
