Field Reports Guide
Field Reports let your team document what's happening at the job site. Whether it's daily progress, a safety concern, an equipment issue, or a general observation, Field Reports create a permanent record that can be reviewed and exported.
What Are Field Reports?
Field Reports are on-site documentation records. Each report captures:
- What happened - A description of the observation, issue, or progress
- Where it happened - The project and subject area
- When it happened - Automatically timestamped
- Who reported it - Logged under the reporting user
- Supporting evidence - Attached photos with optional GPS location
Each report is assigned an auto-generated report number (e.g., FR-2026-0001) for easy reference.
Creating a Field Report
Step 1: Navigate to Field Reports
- Open the project you want to report on
- Go to the Field Reports section within the project
Step 2: Start a New Report
- Click New Field Report
- Select a Category from the dropdown:
- Progress - Daily or milestone progress updates
- Safety - Safety hazards, incidents, or observations
- Issue - Problems, defects, or concerns
- General - Any other on-site observation
- (Your admin may have created additional categories)
Step 3: Fill in the Details
- Subject - Brief topic (e.g., "Foundation pour - Phase 2", "Scaffolding inspection")
- Description - Detailed notes about what you observed or what happened
Step 4: Add Attachments (Optional)
- Click Add Attachment to upload photos
- Photos can include GPS location data from your device
- Multiple attachments can be added to a single report
Step 5: Save or Submit
- Save as Draft - Save your work and come back later to finish
- Submit - Send the report for review
Field Report Statuses
| Status | Meaning |
|---|---|
| Draft | Report is being created and has not been submitted |
| Submitted | Report has been sent for supervisor review |
| Reviewed | A supervisor has acknowledged the report |
Managing Field Reports
Filtering Reports
Use the filters at the top of the Field Reports list to find specific reports:
- Project - Filter by project
- Category - Filter by report category
- Status - Show only Draft, Submitted, or Reviewed reports
- Date Range - Narrow results to a specific time period
- Search - Search report subjects and descriptions
Editing a Report
You can edit reports that are still in Draft status. Once submitted, reports cannot be modified to preserve the integrity of the record.
Exporting
Click Export PDF to download a formatted PDF of any field report, suitable for sharing or filing.
Best Practices
- Report daily - Even a brief progress note creates a valuable paper trail
- Be specific - Include locations, measurements, and names when relevant
- Attach photos - A photo is worth a thousand words, especially for documenting conditions
- Submit promptly - Don't leave reports in Draft status; submit them while details are fresh
- Use consistent categories - Makes it easier to search and filter later
