Standard Reports - Complete Guide

Standard Reports let you generate pre-built reports covering labor, payroll, project costs, profitability, budgets, and equipment utilization. Each report can be filtered by date range, project, employee, and other criteria, then exported to PDF or CSV.


Getting Started

  1. Click Reports in the left sidebar
  2. Select a report type from the Select a Report dropdown
  3. Configure your filters (date range, project, grouping, etc.)
  4. Click Generate
  5. Review the results on screen
  6. Click Export PDF or Export CSV to download

Available Report Types

Labor Report

The Labor Report shows employee hours, labor costs, and revenue for a selected date range.

Filters:

  • Date Range - Start and end date
  • Group By - Employee, Project, Daily, Weekly, or Monthly
  • Project - All projects or a specific project
  • Employee - All employees or a specific person

What you'll see:

  • Summary cards: Total Hours, Total Cost, Total Revenue, Total Entries
  • Detailed table with hours broken down by regular, overtime, and double-time
  • Labor costs and revenue per grouping

Exports: PDF, CSV

Tip: Use the "Group By: Weekly" option to quickly see labor trends over time.


Payroll Summary Report

The Payroll Summary aggregates employee hours and pay for a pay period, giving you the data needed to run payroll.

Filters:

  • Date Range - The pay period (e.g., two-week window)
  • Employee - All or specific employee

What you'll see:

  • Per-employee breakdown of regular hours, overtime hours, and double-time hours
  • Pay rates and calculated pay amounts
  • Travel and per diem totals

Exports: PDF, CSV

Tip: For most payroll workflows, the Payroll Export under Exports provides a more accounting-friendly CSV format.


Project Cost Report

A comprehensive cost breakdown for a single project, organized by cost category.

Filters:

  • Project (required) - Must select a specific project
  • Date Range - Optional period filter

What you'll see:

  • Labor costs (by employee and classification)
  • Material costs
  • Equipment costs (owned and rented)
  • Subcontractor costs
  • Total project cost summary

Exports: PDF, CSV


Profitability Report

Shows revenue vs. cost for each project, helping you identify which jobs are profitable and which are losing money.

Filters:

  • Date Range - Period to analyze
  • Project - All projects or specific project

What you'll see:

  • Per-project revenue, costs, and profit margin
  • Overall profitability summary
  • Projects ranked by margin

Exports: PDF, CSV

Tip: Run this monthly to catch projects trending toward loss before it's too late.


Budget vs. Actual Report

Compares budgeted amounts to actual spending, showing variances so you can track whether projects are on budget.

Filters:

  • Include projects with no budget - Toggle to show/hide projects without budget data

What you'll see:

  • Budgeted amount per project
  • Actual costs to date
  • Variance (over/under budget)
  • Percentage of budget consumed

Exports: PDF


Equipment Utilization Report

Tracks equipment usage across projects, including hours, costs, and whether equipment is owned or rented.

Filters:

  • Date Range - Period to analyze
  • Project - All projects or specific project

What you'll see:

  • Equipment items used
  • Hours of usage
  • Cost per piece of equipment
  • Owned vs. rented breakdown

Timesheet Status Report

Shows the approval status of timesheets, helping managers identify bottlenecks in the approval process.

Filters:

  • Date Range - Period to check
  • Project - All or specific project
  • Status - Filter by Draft, Submitted, Approved, or Closed

What you'll see:

  • Count of timesheets by status
  • Which employees have pending timesheets
  • Timesheets awaiting approval

Exports: PDF

Tip: Run this weekly to ensure timesheets aren't stuck in "Submitted" status waiting for approval.

Tips for Better Reports

  • Set accurate date ranges - A wider date range means more data and longer generation times
  • Use grouping wisely - Group by Employee for payroll tasks, by Project for cost analysis
  • Run reports regularly - Weekly or bi-weekly reports help catch issues early
  • Export to CSV for analysis - Open in Excel to create custom charts and pivot tables
