Equipment Scheduling: Managing Your Assets
Effective equipment management is crucial for project success. Site Service Pro's Equipment Scheduling system helps you track where your equipment is, when it's available, and who's operating it.
Understanding Equipment Schedules
Equipment schedules work similarly to employee schedules but include additional features specific to asset management:
- Project Assignment - Assign equipment to specific projects
- Operator Assignment - Link equipment to qualified operators
- Maintenance Tracking - Block equipment during maintenance periods
- Usage Type Classification - Categorize how equipment is being used
Creating an Equipment Schedule
Step 1: Access the Schedule View
- Navigate to Schedule from the main menu
- Select the Equipment List or Equipment Calendar view
- Click Add Equipment Schedule or click directly on the calendar
Step 2: Fill in Schedule Details
Required Information:
- Equipment - Select the piece of equipment to schedule
- Project - Choose the project where equipment will be used
- Start Date/Time - When equipment will be needed
- End Date/Time - When equipment will be released
Optional Information:
- Assigned Operator - Employee who will operate the equipment
- Usage Type - How the equipment will be used
- Notes - Special instructions or requirements
Step 3: Select Usage Type
Equipment can be scheduled for different purposes:

Step 4: Assign an Operator (Optional)

- Select from available employees
- The system will verify the operator doesn't have schedule conflicts

Equipment Status Types
Equipment schedules can have different statuses:

- Navigate to Schedule → Equipment
- Find the equipment in the list
- Click Add Availability/Downtime
- Select Maintenance as the reason
- Enter the maintenance period dates
- Add notes about the maintenance work
The system will:
- Block the equipment from being scheduled during maintenance
- Show maintenance periods on the calendar
- Alert users if they try to schedule during downtime
Viewing Equipment Utilization
The Equipment Calendar shows:
- Color-coded assignments by project or status

- Same equipment scheduled to multiple projects simultaneously
- Equipment scheduled during maintenance windows

Operator Conflicts
- Assigned operator already scheduled elsewhere
- Operator assigned to incompatible equipment
- Operator on PTO during scheduled time
When a conflict is detected:
- A warning icon appears on the schedule entry
- Hover to see conflict details
- Click to view and resolve the conflict
Recurring Equipment Schedules
For ongoing equipment needs:
Create a new equipment schedule
Enable Recurring Schedule
Select pattern:
- Daily - Every day or every X days
- Weekly - Specific days each week
- Bi-Weekly - Every two weeks
- Monthly - Same day each month
Set the recurrence end date
Save to create all recurring entries
Managing Recurring Schedules
- Edit Single - Modify just one occurrence
- Edit Series - Change all future occurrences
