Effective equipment management is crucial for project success. Site Service Pro's Equipment Scheduling system helps you track where your equipment is, when it's available, and who's operating it.

Understanding Equipment Schedules

Equipment schedules work similarly to employee schedules but include additional features specific to asset management:

  • Project Assignment - Assign equipment to specific projects
  • Operator Assignment - Link equipment to qualified operators
  • Maintenance Tracking - Block equipment during maintenance periods
  • Usage Type Classification - Categorize how equipment is being used

Creating an Equipment Schedule

Step 1: Access the Schedule View

  1. Navigate to Schedule from the main menu
  2. Select the Equipment List or Equipment Calendar view
  3. Click Add Equipment Schedule or click directly on the calendar

Step 2: Fill in Schedule Details

Required Information:

  • Equipment - Select the piece of equipment to schedule
  • Project - Choose the project where equipment will be used
  • Start Date/Time - When equipment will be needed
  • End Date/Time - When equipment will be released

Optional Information:

  • Assigned Operator - Employee who will operate the equipment
  • Usage Type - How the equipment will be used
  • Notes - Special instructions or requirements

Step 3: Select Usage Type

Equipment can be scheduled for different purposes:

Usage Type Description
OnSite Equipment stationed at project location for active use
Transport Equipment in transit between locations
Maintenance Equipment undergoing scheduled or unscheduled maintenance

Step 4: Assign an Operator (Optional)

If the equipment requires an operator:

  1. Click the Assigned Operator dropdown
  2. Select from available employees
  3. The system will verify the operator doesn't have schedule conflicts

Best Practice: Assign operators when scheduling to ensure both the equipment and qualified personnel are available.

Equipment Status Types

Equipment schedules can have different statuses:

Status Color Meaning
Scheduled Blue Confirmed future assignment
InProgress Green Currently in use at project
Completed Gray Assignment finished
Cancelled Red Assignment cancelled
Maintenance Orange Under maintenance (not available)

Managing Equipment Availability

Marking Equipment for Maintenance

When equipment needs maintenance:

  1. Navigate to ScheduleEquipment
  2. Find the equipment in the list
  3. Click Add Availability/Downtime
  4. Select Maintenance as the reason
  5. Enter the maintenance period dates
  6. Add notes about the maintenance work

The system will:

  • Block the equipment from being scheduled during maintenance
  • Show maintenance periods on the calendar
  • Alert users if they try to schedule during downtime

Viewing Equipment Utilization

The Equipment Calendar shows:

  • Color-coded assignments by project or status
  • Conflict indicators when double-booked
  • Maintenance windows blocked out
  • Available time slots for scheduling

Conflict Detection

The system automatically detects scheduling conflicts:

Equipment Conflicts

  • Same equipment scheduled to multiple projects simultaneously
  • Equipment scheduled during maintenance windows
  • Equipment scheduled beyond available hours

Operator Conflicts

  • Assigned operator already scheduled elsewhere
  • Operator assigned to incompatible equipment
  • Operator on PTO during scheduled time

When a conflict is detected:

  1. A warning icon appears on the schedule entry
  2. Hover to see conflict details
  3. Click to view and resolve the conflict

Recurring Equipment Schedules

For ongoing equipment needs:

  1. Create a new equipment schedule

  2. Enable Recurring Schedule

  3. Select pattern:

    • Daily - Every day or every X days
    • Weekly - Specific days each week
    • Bi-Weekly - Every two weeks
    • Monthly - Same day each month
  4. Set the recurrence end date

  5. Save to create all recurring entries

Managing Recurring Schedules

  • Edit Single - Modify just one occurrence
  • Edit Series - Change all future occurrences
  • Delete Single - Remove one occurrence
  • Delete Series - Remove all future occurrences

Coordinating Equipment with Employees

For best results, coordinate equipment and employee schedules:

Method 1: Schedule Equipment First

  1. Assign equipment to the project
  2. Then schedule the operator to match
  3. System links the schedules automatically

Method 2: Schedule Together

  1. Create equipment schedule
  2. Assign operator in the same form
  3. Both schedules created simultaneously
  1. Open an existing equipment schedule
  2. Add an assigned operator
  3. System checks for employee availability

Calendar Views for Equipment

Equipment Calendar View

  • Shows all equipment on a weekly/monthly calendar
  • Filter by equipment type or status
  • Drag and drop to reschedule
  • Color-coded by project

Equipment List View

  • See all scheduled equipment in a list format
  • Sort by date, project, or equipment
  • Bulk actions for multiple entries
  • Export schedule to CSV

Combined View

  • Toggle between employee and equipment views
  • See both resources on same calendar
  • Identify resource gaps
  • Plan comprehensive project coverage

Scenario 1: Heavy Equipment Rotation

Situation: A excavator needs to rotate between two job sites.

Solution:

  1. Schedule excavator at Site A: Monday-Wednesday
  2. Schedule transport: Wednesday afternoon
  3. Schedule excavator at Site B: Thursday-Friday
  4. Assign same operator to all entries
  5. System prevents conflicts and shows full equipment timeline

Scenario 2: Scheduled Maintenance Window

Situation: Crane due for quarterly maintenance next month.

Solution:

  1. Add availability block for maintenance dates
  2. Set reason as "Scheduled Maintenance"
  3. Add notes: "Quarterly inspection and certification"
  4. System blocks those dates from scheduling
  5. Project managers see crane unavailable and plan accordingly

Scenario 3: Equipment Breakdown

Situation: Concrete pump breaks down mid-project.

Solution:

  1. Open current equipment schedule
  2. Change status to Maintenance
  3. Add note: "Unscheduled repair - hydraulic system"
  4. Create new availability block for repair period
  5. Notify project manager of equipment unavailability
  6. Find replacement equipment or adjust project timeline

Scenario 4: Multi-Project Equipment Sharing

Situation: Specialized testing equipment needed at multiple sites same week.

Solution:

  1. Review equipment calendar for the week
  2. Schedule equipment at Project A: Mon-Tue
  3. Schedule transport: Tuesday PM
  4. Schedule equipment at Project B: Wed-Thu
  5. Schedule transport: Thursday PM
  6. Return to yard: Friday
  7. Each project gets equipment when needed

Equipment Scheduling Permissions

Permission Description
Schedule Employees/Equipment Create and edit equipment schedules
View Schedule See equipment calendar (read-only)
Manage Equipment Add/edit equipment in the system

Note: Users need both equipment access and scheduling permission to create equipment schedules.

Tips for Effective Equipment Scheduling

  1. Schedule maintenance proactively - Don't wait for breakdowns
  2. Assign operators when scheduling - Ensures qualified personnel available
  3. Use recurring schedules - For ongoing project needs
  4. Check conflicts before confirming - Resolve issues upfront
  5. Update status promptly - Keep schedule reflecting reality
  6. Add detailed notes - Help team understand equipment needs
  7. Review utilization regularly - Identify underused assets

Troubleshooting Common Issues

"Equipment unavailable for selected dates"

  • Check if equipment is under maintenance
  • Verify equipment isn't scheduled elsewhere
  • Review equipment availability settings

"Operator conflict detected"

  • Operator already scheduled during those times
  • Consider assigning a different qualified operator
  • Or adjust the equipment schedule timing

"Cannot edit completed schedule"

  • Completed schedules are locked
  • Contact administrator to reopen if needed
  • Create a new schedule for additional time
